What are Segments?
Segments (/crm/segments) are dynamic, self-updating contact groups inside Reachvo. Unlike static lists that require manual imports and periodic spreadsheet cleanups, Segments automatically evaluate your contacts against real-time rules (such as job titles, geographic locations, lead scores, or connection statuses).
Whenever you discover new prospects via Search Prospects, capture warm leads through Signal Intelligence, or import contacts, Reachvo instantly evaluates them against your segment rules. If they match the criteria, they enter the segment automatically.

Static Lists vs. Dynamic Segments
To achieve the best results with your outreach, choose the list type that fits your campaign goal:

1. Segments Hub Overview
When you open the Segments page, the top header bar and toolbar provide an instant status overview:

Key Screen Elements:
- Summary Metrics Subtitle: Displays your real-time total count of active segments, total cumulative contacts enrolled across segments, and number of campaigns currently powered by your segments.
- Search Bar: Quickly locate any segment by typing its title or keyword.
- + Build Segment Button: Opens the right-side Segment Builder drawer to construct a new dynamic audience.
2. How to Build a Segment (Step-by-Step)
Clicking + Build Segment opens the builder drawer on the right side of your screen:

Step 1: Name Your Segment
Enter a clear, descriptive name (e.g., US Tech Founders - High Score or Growth Leaders - Warm Leads).
Step 2: Select Client Workspace
If you are managing client sub-accounts through an Agency workspace, choose which client workspace this segment belongs to, or keep Current Workspace.
Step 3: Define Filter Criteria
Reachvo allows you to combine multiple rules using standard CRM fields and custom attributes:

Custom fields created in your Workspace Settings that have Use in Segments toggled on will also automatically appear in this dropdown list.
Step 5: Save
Click Save Segment to store your filter. Reachvo will immediately index your database and generate the segment card.
3. Managing and Launching Campaigns from Segments
Once saved, each segment appears as an interactive card displaying rich analytics and management controls:

Segment Card Metrics:
- CONTACTS: The total number of leads currently matching your segment rules.
- AVG SCORE: The average AI lead score across all matching prospects.
- CAMPAIGNS: The number of active campaigns currently sending messages to this audience.
- Active Rule Badges: Quick visual pills showing the first 3 active filter criteria.
Card Actions Menu
Click the actions menu button on any card to perform the following actions:
- Use in Campaign: Instantly launches the New Campaign Wizard (
/outreach/campaigns/new?segmentId={id}) with this segment pre-selected as the recipient audience. - Edit: Opens the Segment Builder drawer to modify rules or rename the segment.
- Duplicate: Clones the existing segment rules so you can quickly build regional or vertical variants (e.g. creating a UK version of a US segment).
- Delete: Permanently removes the segment rule. (This will never delete or modify the contacts themselves).

Frequently Asked Questions (FAQ)
Do contacts automatically leave a segment if their profile changes?
Yes. Segments are completely dynamic. If a contact's lead score drops below your threshold or their job title is updated, they will automatically exit the segment on the next evaluation cycle.
Will deleting a segment delete my CRM contacts?
No. Deleting a segment only deletes the saved filter rule set. All contacts, lead scores, conversation histories, and notes remain safe in your CRM.
Can I use multiple segments in the same campaign?
Yes. When configuring outreach sequences in the Campaign Builder, you can select one or more segments as target audience sources.
