Contacts, Lists & Blacklist

Learn how to manage your prospect directory, filter hot leads, organize custom lists, import/export CSVs, and manage do-not-contact blacklists.

What is the Contacts Hub?

The Contacts directory (/crm/contacts) is your centralized CRM database in Reachvo. It stores every prospect discovered through search, revealed from buying signals, or imported via CSV.

From this screen, you can inspect contact profiles, track LinkedIn connection states, filter high-scoring Hot Leads, organize prospects into Lists, and manage your Blacklist to prevent unwanted outreach.


1. Top Summary Metric Badges

At the top of your Contacts directory, four quick-stat badges give you an immediate snapshot of your database:

Metric Badge What It Indicates Actionable Next Step
Total Contacts Total prospect records stored in your active workspace. If low, head to Search Prospects to find new ICP decision-makers.
Connected Contacts who have accepted your LinkedIn connection request (1st-degree network). You can send direct messages to these contacts with zero InMail credits.
Hot Leads High-intent prospects with elevated lead scores (>75) based on email opens, replies, or signal triggers. Prioritize these contacts for immediate sales follow-ups.
In Campaign Contacts currently moving through an active multi-channel outreach sequence. Monitor sequence completion and response rates in Campaigns.

2. The 3 Primary Sub-Views

Directly below the metric badges, you can toggle between three specialized management views:

1. Contacts (`/crm/contacts`)

The primary CRM table for searching, filtering, and managing all individual leads across your workspace.

2. Lists (`/crm/lists`)

Organize prospects into static, named batches (e.g. SaaS Founders - Batch 1, Webinar Attendees). Lists can be directly selected as the target audience when creating an Outreach Campaign.

3. Blacklist (`/crm/blacklist`)

A workspace-wide suppression registry. Any email address, domain (e.g. @competitor.com), or LinkedIn profile added to the Blacklist is automatically blocked from receiving automated campaign messages.


3. Header Action Buttons

In the top-right corner of the Contacts screen, four action buttons allow you to manage data at scale:

  • + Add Contact: Manually create a single contact record with name, work email, phone, company, and LinkedIn URL.
  • Import CSV: Bulk upload contacts from a CSV file. Reachvo automatically matches columns (Name, Title, Email, Company, LinkedIn URL) and allows you to assign the imported batch directly to a List.
  • Export: Download selected or filtered contacts into a clean CSV file.
  • Columns: Customize which columns are visible in your table (e.g. toggle Score, Tags, Enrichment, Assigned To).

4. Ownership Tabs & Filter Toolbar

Above the table, powerful search and filter controls help you pinpoint exact prospect segments:

Ownership Pills:

  • My Contacts: Shows only contacts assigned to your user account.
  • Team Contacts: Shows contacts assigned to other team members in your workspace.
  • All Contacts: Workspace-wide overview.

Multi-Attribute Filters:

  • Search Bar: Instant keyword search across contact names, job titles, and company domains.
  • List: All lists: Filter contacts belonging to a specific custom list.
  • All tags: Filter by custom labels (e.g. VIP, High Intent, Q4 Target).
  • All assignees: Filter by team member owner.
  • All statuses: Filter by CRM status (Lead, Contacted, Replied, Customer, Lost).
  • All data levels: Filter by data completeness (Fully Enriched, Email Only, Phone Available).
  • All lifecycle stages: Filter by stage (Prospect, MQL, SQL, Opportunity, Customer).

5. Understanding Table Columns & Hot Leads

  • Name & Prospect Stage: Displays the contact's full name, initial avatar, and current lifecycle stage. Click on any contact name to open their full CRM profile modal.
  • LinkedIn Status: Real-time badge indicating whether the contact is Replied, Connected, Invite Sent, or Not Contacted.
  • Lead Score: Reachvo's algorithmic intent score:
    • 80 – 100 (High Intent): Hot Lead. Highly engaged or triggered strong buying signals.
    • 60 – 79 (Moderate Intent): Warm Lead. Opened messages or visited profile.
    • Below 60: Cold / Unengaged prospect.
  • Campaigns: Number of multi-channel outreach sequences the contact is actively enrolled in.
  • Last Activity: Exact timestamp of the last email sent, DM received, or profile visit.
  • More Actions (•••): Quick menu to edit details, add to a campaign, assign to a list, or push to the Blacklist.

6. Bulk Actions Workflow

To take actions on multiple contacts at once:

  1. Use the left-side checkboxes to select individual contacts (or check the top header box to select all).
  2. A floating bulk actions bar will appear:
    • Enroll in Campaign: Add all selected contacts directly into an active sequence.
    • Add to List: Group contacts into a new or existing List.
    • Assign Owner: Distribute leads among your sales team members.
    • Delete / Blacklist: Remove or suppress contacts in bulk.

Best Practices for Managing Contacts

TIP

Daily Lead Management Workflow:

  1. Click the Hot Leads sub-tab to see prospects who recently replied or engaged.
  2. Open their conversation directly in Sales → Inbox or create a follow-up task in Sales → Tasks.
  3. Use Lists to segment prospects before launching a campaign (e.g. keep US CEOs in a separate list from European VP Sales to ensure proper timezone delivery).
